What can you do to please your event partner?
Truly exceptional events have two essential parts that must be remembered and taken care of. Most conference organizers focus only on one of them, besides not as much as they should. This part is the speakers and everything related to them. Where is the philosophy here, right? All you have to do is invite them, and they will come and deliver their speeches for free. Great, what about their transport, accommodation, experience of the event and – most importantly – their preparation for the performance?
1. What’s important?
The second part of the conference are participants and everything related to them. And that’s interesting because there are so many possibilities to build a unique experience for them. But you do not do it. No, the coffee maker and ordered catering do not count.
This second part is especially important for the PR Manager from the introduction, so expand it, Organizer! Participants are not just invited to the event and give them drink and eat. The most important thing is to build experience for them, and this is an excellent opportunity to engage event partners.
2. The name counts
We mentioned the word “partners,” then let’s set something in the beginning – companies should not be sponsors of events. They should be partners. Difference? The sponsor gives the money that the organizers use for the organization. The partner engages in the event (also financially) to provide the best experience for the participants. The sponsor is someone from outside who stays outside. The partner is someone from outside who becomes part of the initiative.
3. Build experience!
So how to build this experience? Things that participants can not experience at any time (e.g., live music vs. recording), things that provide fun (e.g., games), new knowledge (e.g., interactive exhibitions), shocking things (e.g., exciting statistics) work best. and excitement (e.g., competition).
And how can the company cooperate with the conference? Organizing one of the activities for participants. If you arouse emotions in the participants of the event, they will remember the event and the company better. In addition – various types of unique attractions are more often photographed and recorded by both participants and professional crews serving events in this area, which translates into the visibility of the company in materials after the conference.
4. What else?
There are several other aspects of the conference that you can use. For example, welcome packs (bags with materials/gifts for participants). Instead of putting in the three pens, two notepads, 15 leaflets, give something that will be useful for people who get it.
Another aspect – instead of 8 hours of non-stop bombing the participants with serious speeches, invite a comedian or an illusionist to appear in the middle of the event. Or a music band. Music is a great release and makes the audience have a moment to rest between demanding topics.
